User Basics
All people who can login to Virtual Time+Expense are considered users. All users
have a name, login name, password and email. Each user can have one or more
roles. As you give roles to a user, what they are allowed to see and what they
can do while using Virtual Time+Expense change. Your users should have been
synced over from your accounting system already using VTSync. Here are the basics for setting up a user.
Setup Users
1. Login as Admin – Click Settings 2. Click
Users – Select User 3. Create a Login Name and Password 4. Check
Can Submit Timecards and/or Can Submit Expenses 5. For Approvers – Check
Can Approve Time or Can Approve Expenses 6. For Reviewers – Check
Can Process Time or Can Process Expenses 7. For Accountants – Check
Can Process Billables and Can Process Payables, Can
Admin Data and Can View All Reports 8. Click Save
Assign Managers
1. Click Users – Select User
2. Go to General Approval Settings – Manager
3. Select the Manager dropdown (If no user appears, you need to create a user
with Can Approve Time or Can Approve Expenses)
4. Check Manager Approves Time and/or Manager Approves Expenses if you always
want this manager to approve the Users time or expense regardless of the
Project.
5. Click Save
Setup User Bill and Pay Rates
1. Go to User Rates section (if this does not appear you will need to check the
checkbox User Rates under My Company settings)
2. Assign Date Start, Bill Rate and Pay Rate. (You must enter a rate if the User
is not getting paid enter a ‘0’)
3. Click Save
